Tender Management

Madar PM shall prepare full tender documents:

·        Selection of Tender Type

·        Tender short list

·        Contract terms and conditions

·        a detailed and itemized cost estimate in the form of a priced Bills of Quantities which will constitutes the Engineer’s estimate, against which, the tenders’ prices will be compared.

·        with the assistance of the Architect and the Engineering Consultants Preparation of tender document to include;

·        Specification, Offer schedule, Forms of offer, Covering letter, Pre-tender questionnaire and Awarding criteria

Madar PM shall manage the procedures for selecting tenders including.

·        Issue advert through appropriate media or recommend short list

·        Log expressions of interest

·        Send pre qualification questionnaire to interested parties

·        Receive pre qualification questionnaires by stated deadline

·        Evaluation of responses

·        Short listing of responses

·        Issue Tenders to short listed companies

Madar PM shall make recommendation to the Client as to the most appropriate type of contract.

Madar PM shall coordinate the receipt, analysis and reply in respect to queries raised by the tenders during the tender period.

Madar PM shall arrange for issuing addenda to the tender documents as necessary.

In conjunction with the Architect and the Engineering Consultants, Madar PM shall examine and evaluate the received tenders:

·        The evaluation of tenders includes; Ensuring compliance with specification, Scoring tenders against the set criteria, Evaluation meeting, Clarification questions, And Site visits or presentations by the Tenders

·        Selection of winning Tender

·        Approval gained to proceed to award

·        Letters sent to each Tender giving notification of the result

·        Draw up contract

·        Award meeting

·        Prepare a tender analysis report with recommendations and submit to the Client.

·        Award notice published.

Madar PM shall attend negotiation meetings with the Client for the selection of the successful tender. Then preparing the construction contract for signature.
